A compliance task is not complete because someone remembers it being done. It is complete when the evidence can be found, checked and acted on.
HSE describes a case in which a landlord failed to arrange annual gas-safety checks for eight years. Following a concern, the landlord produced a certificate dated November 2024 but could not provide records covering the preceding eight years. HSE states that landlords must ensure gas appliances are checked every 12 months by a Gas Safe registered engineer and retain the records.
The safety obligation belongs with the appropriate dutyholder and competent professionals. The broader management lesson is about retrievability.
For each property, asset or recurring compliance requirement, the operating file should answer six questions without a search through old emails:
What is due, and what standard or certificate is required?
Where is the asset or property covered by that obligation?
Who is accountable for arranging and reviewing the work?
Which competent supplier completed it?
When was the service completed and when is the next review due?
Where is the evidence: certificate, invoice, payment record and renewal reminder?
That is a better standard than a folder labelled “compliance”. A payment to a supplier is not proof of the required service. A certificate is not useful if nobody can connect it to the correct property, asset, date and renewal owner. And a renewal date is not a control if it lives only in one person’s memory.
For property and trade businesses, a disciplined bookkeeping process can reinforce the evidence trail: code supplier payments consistently, link invoices to the asset or property, retain certificates with the transaction record and review future renewals before they become urgent.
Genius can help organise supplier-payment, bookkeeping and document-retention workflows around your compliance evidence. We do not provide legal, property-management or gas-safety advice.
